Library Room Reservation Policy

Policy:

EKU Libraries allows EKU students, faculty, and staff to reserve and use non-assigned meeting rooms and classrooms when they are not in use by the library. 

Guidelines:

Scheduling Meeting Rooms:

John Crabbe Grant Main Library:

  • Reservations are filled on a first-come, first-served basis. 

  • Rooms will be scheduled within 48 hours of the request and a confirmation will be emailed to the requestor.  

  • When the reservation is for an event to be held within 48 hours of the current date, reservations should be made in person or by calling the Circulation Department at 859-622-1790
  • Rooms cannot serve as the primary classroom location. An instructor is limited to five reservations for each course. 
  • Rooms can be scheduled by a group or individual up to three hours per day and up to three days per week.  
  • When selecting a room, please select a room appropriate for your event, as we cannot accommodate set-up or technology requests.
  • Some rooms and/or spaces require special permission through the Dean’s Office, as noted in the guidelines portion of this document. They can be made by calling 859-622-1778. We require an advance notice of 14 days.
  • Library staff can deny reservation or use of a room based on the treatment of the space during a prior reservation. If damage to the room, its furnishings, or equipment occurs during a meeting, the library may require the patron(s) or group who is responsible to pay for damages. 

Business Library and Academic Commons Meeting Rooms:

  • Reservations are filled on a first-come, first-serve basis.

  • Reservations can be made by phone at 859-622-7341, or in person in the Business Library.

  • Rooms will be scheduled within 48 hours of the request and a confirmation will be emailed to the requestor. 

  • When the reservation is for an event to be held within 48 hours of the current date, reservations must be made in person or by calling the Business Library at 859-622-7341.

  • Rooms can be scheduled up to two hours with no limit on the number of reservations per day.

  • The Business Library classroom (276) can be reserved only by groups and within one week of the current date.

  • Library staff can deny reservation or use of any room to anyone based on the treatment of the space during a prior reservation. If damage to the room, its furnishings, or equipment occurs during a meeting, the library may require the applicant to pay for damages.
